Automation for small business / Berlin

Your inbox, receipts and content on autopilot. You keep the decisions. The routine runs itself.

For cafés, studios, ateliers and shops with one to ten people. I build small, boring robots inside the Google Workspace you already pay for: they sort the mail, file the receipts, draft the replies, schedule the posts and tell you what happened. Nothing goes out without your yes, unless you want it to.

01 / What

Three things that eat your week

Pick any one to start

A Paperwork

Receipts, invoices, the Steuerberater folder

  1. 01Receipts find themselves
Every invoice and receipt that lands in your mail is saved as a PDF in Drive, sorted by year and month, with the vendor and amount in a sheet.
  2. 02Invoices in one click
A template with your numbering, a reminder when one is overdue, a copy in the right folder.
  3. 03Weekly check
Duplicates, gaps in numbering, receipts without a match, totals per month. A short report on Monday.
  4. 04One folder for your tax advisor
At month end everything is already where the Steuerberater wants it. You forward a link.

Result: no shoebox, no evening with a scanner

B Clients & inbox

Requests answered while you work

  1. 01Mail sorted
Requests, orders, bills, newsletters and spam go to the right label. You open one folder, not a wall.
  2. 02Replies drafted in your tone
A new request gets a draft within minutes, based on your price list and your answers to frequent questions. You tap send, or let it go out automatically for simple cases.
  3. 03Follow-ups that happen
No answer in seven days: a polite reminder, logged. A yes: a calendar slot proposed.
  4. 04Reviews answered
New Google review: a draft reply ready to post, good or bad.

Result: every request answered the same day

C Content

Posts that go out without you

  1. 01A month planned in an hour
Themes, captions and a schedule in a sheet; you approve the sheet, not every post.
  2. 02Clips become Reels
Your team films on a phone by a checklist. I cut, caption and schedule. Four to eight Reels a month.
  3. 03Google profile kept alive
Posts, hours, menu or collection updates in one place, pushed on schedule.
  4. 04Numbers, not feelings
Weekly stats land in the same sheet. What worked gets repeated, what did not gets dropped.

Result: a channel that posts every week, in your voice

Outgoing messages are drafts until you say yes, or go out automatically only within limits you set. A stop word pauses everything. Every action is one row in a log you can read.

A digest each morning: what ran, what waits for you. Monthly care: small changes, monitoring, one hour of adjustments. If it stops saving you time, we switch it off.

Where the week goes

Fig. 03 — Hours per week

manual with automationEstimate · your numbers in the first call

11.5 hours a week back. That is one working day and a half, every week, for the thing you actually opened the business for.

The hours above are a typical estimate for a small café, studio or shop. In the first call we count yours: who does what, how often, how long. The estimate becomes a number.

I run my own studio on it

Live since 2026 · numbers from the logs
25cold emails a day

Drafted the evening before, listed in a morning mail, sent by a script with a daily limit. I reply “stop” to hold them.

5 minto a drafted reply

A client answers; within five minutes a reply is drafted from the price list and the sales rules. Small things go out, big things wait for me.

12+vendors, receipts filed

Every Monday the receipts of the week land in Drive as PDF, by year and month, with a report of what could not be matched.

12 → 5bookkeeping errors, first check

The first weekly audit found twelve issues, duplicates and gaps in numbering among them. Five were fixed the same day; the rest were questions for me.

38 %reply rate, cold Instagram

Fifty short messages to brands in March 2026, nineteen answers. The hook is written by rules, the sending stays human.

1 / dayShort uploaded, strategy weekly

A video a day goes to YouTube with a title written from a strategy file. Every Monday the stats rewrite the strategy.

40+cafés found in one run

Independent cafés in one Berlin district, pulled from open map data, chains and duplicates removed, ready for a hand-written hello.

2 × daybackups, weekly security scan

Everything that runs is copied twice a day and checked once a week for leaked keys and open doors. Boring, on purpose.

Boundary. I automate the processes around bookkeeping. I do not do bookkeeping and I do not give tax advice: that stays with your Steuerberater.

Terms. Projects from 500 €: half before the start, half on delivery. Monthly packages: in advance. One round of changes included. Deadlines for automation are named after the first call, not before.

07 / FAQ

Questions owners ask

Short answers
01Where does my data live?

In your Google Workspace, in your account. The robots run under access you grant with your own login and can revoke in one click. The only thing that leaves is the text sent to the AI model to write a draft. No passwords are stored with me.

02What if the AI writes nonsense?

By default nothing is sent: a draft waits for your tap. Automatic sending is switched on only for cases you define, with a daily limit and a stop word. Every message is logged, so a mistake is visible and fixable the same day.

03What do I need to start?

A Google account for the business (Gmail, Drive) and twenty minutes. If you are on Outlook or another system, we talk first; most things are possible, some take longer.

04How long until it runs?

One process: one to two weeks after the call. The office package: three to four weeks, because it touches more of your routine and we test it on real mail first.

05Can I switch it off?

Yes, any time: a stop word pauses everything, and the access can be revoked in your Google account. Nothing is locked in; the sheets and folders stay yours.

06Do you do my bookkeeping?

No. I prepare and sort; your Steuerberater books and advises. Think of it as a very tidy assistant who hands them a clean folder.

07Which languages?

German, English and Russian, for the setup and for the drafts the robots write.
